Privacy Policy
Effective October 23, 2026
This Privacy Policy explains how Keepwell Payments LLC (“Keepwell,” “we,” “us”) collects, uses and shares information when you visit keepwellpayments.com (the “Site”), use our savings calculator, or contact us. By using the Site, you agree to this policy.
Information we collect
Information you give us
When you fill out our “Get started” form or otherwise contact us, we collect:
- Your name, business name, email address and phone number
- Your industry and approximate monthly card sales volume
- Anything you choose to include in your message, such as your current processor or equipment
- Your consent choice for calls and text messages, along with the date and time you gave it
If you go on to apply for merchant services, the payment processor handling your application may ask for additional business and owner information as part of its application. That information is collected under that processor’s application terms and privacy notice.
Statements you upload for a free review
If you upload a processing statement through our statement review page (keepwellpayments.com/upload), the file is sent by a Google Apps Script directly to a private Google Drive folder on Keepwell’s Google account, and a log sheet in that account records the submission (date and time, your name, business name, email, phone if given, the number of files, and, if you arrived through a Keepwell representative’s flyer or card, that representative’s ID and the source code in the link). We use the representative ID only to credit and pay the representative who referred you. Nothing you upload is stored on our website’s server. We use your statement to prepare your free fee review, discuss the results with you and, if you’d like, revisit it with you later. Please black out your merchant account number; we never need, and won’t accept, full card numbers, bank account or routing numbers, Social Security numbers or login credentials. Statement files are stored in that private Google Drive folder and in our secure files, are accessible only to the Keepwell team members preparing your review, and are not sold or shared with any payment processor or bank unless you ask us to help you apply. We keep statement files while we have a business relationship with you, so we can revisit your review or compare future statements, or until you ask us to delete them. We review stored files at least once a year and delete files we no longer need. To have your files deleted, email hello@keepwellpayments.com; we’ll delete them from our Google Drive folder, log sheet, notification emails and our files within 30 days and confirm by email. We may keep a record of your deletion request and the representative payment record (without your statement).
Information collected automatically
When you submit a form, our server or Google (for statement uploads) may record your IP address and browser type. Booking links may carry tracking tags (UTM) showing which flyer or representative referred you; Calendly receives these when you book. Like most websites, our hosting provider also keeps standard server logs (IP address, pages requested, date and time). The Site loads fonts from Google Fonts, which means Google receives your IP address when the page loads. Some blog posts include YouTube videos. The video player loads only if you click Play; when it does, YouTube (Google) may receive your IP address and set cookies or similar technologies under Google’s own privacy policy. The savings calculator runs in your browser; the numbers you type into it are not sent to us.

Calls and text messages
If you check the consent box on our form, you agree that Keepwell Payments may contact you by call or text, including through automated means, at the number you provided. Consent is not a condition of purchase. Message frequency varies. Message and data rates may apply. Reply STOP to any text to opt out, or HELP for help. We do not sell, rent or share your mobile phone number or text messaging opt-in data with third parties or affiliates for their marketing purposes. How we share information
We do not sell your personal information. We share it only as follows:
- The payment processor and sponsor bank handling your account. If you ask us to help you get set up, we share with them the information needed to prepare and submit your merchant application.
- Service providers. Companies that host the Site, store uploaded statements and our submission log (Google, through Google Drive and Google Apps Script), deliver email, or send calls and texts on our behalf, under obligations to protect the information.
- Legal and safety. When required by law, subpoena or court order, or to protect the rights, property or safety of Keepwell, our customers or others.
- Business transfers. As part of a merger, acquisition or sale of assets, subject to this policy.
Cookies
The Site does not use advertising or analytics cookies. If that changes, we will update this policy before doing so.
How long we keep information
We keep lead and contact information for as long as needed to respond to you and serve your business, and consent records for as long as needed to show we had permission to contact you, which may be several years after our last contact. We delete or anonymize information when it is no longer needed.
We keep uploaded statement files while we have a business relationship with you or until you ask us to delete them, review them at least once a year, and delete them within 30 days of a request sent to hello@keepwellpayments.com.
Security
We use reasonable administrative and technical safeguards, including encrypted (HTTPS) connections to the Site. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please do not send card numbers, bank account numbers or Social Security numbers through our contact form.
Your choices and rights
